We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to our CEO. The role requires superior organizational skills, an outstanding ability to multitask, and a proactive approach. This individual will handle daily administrative tasks, manage phone calls and inquiries, and may be involved in project and account management tasks. They will also serve as a liaison for remote colleagues, helping to coordinate projects and communication. The position is based in Santa Clara, and applicants must be available to work on-site daily.
1. Coordinate CEO's daily schedule, including organizing meetings, appointments, and travel arrangements.
2. Manage phone calls, respond to inquiries promptly and professionally, and ensure that necessary messages are communicated accurately.
3. Assist with project management tasks, including tracking deadlines, deliverables, and contributing to project plans.
4. Play a potential role in account management, maintaining relationships with key clients, and providing support where necessary.
5. Coordinate communication with remote colleagues, ensuring that everyone is aware of project updates and changes.
6. Assist in preparing and editing correspondence, reports, and presentations.
7. Maintain an organized filing system of paper and electronic documents.
1. Proven experience as an executive assistant or in another relevant administrative role.
2. Excellent organizational and multitasking abilities.
3. Strong verbal and written communication skills.
4. Proficiency in MS Office Suite and familiarity with project management tools.
5. Ability to handle sensitive and complex issues with discretion and confidentiality.
6. College degree; additional qualifications as a Personal Assistant or Secretary are a plus.

3. Locally based in South San Francisco Bay Area and able to commute daily to the office.
